BWT AQUA AG is a leading supplier of standardized drinking water purifiers.  In the household technology, industrial and pharma sectors, BWT AQUA AG provides both individual customers and businesses with various purification products and services – for everything from drinking water to the cleanest process water. With the introduction of a CRM system, they wished to establish a stable and centralized set-up for customer communication management. Additionally, using a platform for document automation would allow them to effortlessly produce elegantly and professionally designed proposals.

Initial situation

The CRM system that BWT AQUA AG had been using for 15 years no longer corresponded to the state of the art. It could not be integrated into Office or connected to Outlook in order to synchronize contacts and deadlines, for example. As a small-scale national manufacturer, the company was also too dependent on individual vendors. Moreover, they were using Crystal Reports (Version 7.8,) severely limiting their capabilities when it comes to designing and presenting customer proposals.

What needed to be fixed?

It was high time to graduate to a stable and reliable IT provider for customer contact and communication management in order to secure their future viability. It was also time to trade their document automation system for one that allows them to easily create complex proposals.

Crystal Reports was complicated to use, yet offered only a narrow range of aesthetic options. The company needed a proposal writing tool that would be easy to use and enable them to flexibly design and create quotes for individual vendors.

Project participants & communication

Above all, this has been a showcase project when it comes to communication. With short communication channels and a direct line between developers and consultants, they were able to remove all stumbling blocks either preemptively or early on in the process. At the same time, BWT AQUA AG now boasted an extremely lean project organization structure, comprised of two key users from the two sales departments involved – a database specialist and the project manager.

What’s next?

In the near future, the company plans to take steps to further utilize the potential of Microsoft Dynamics CRM and dox42. As the current ERP system is phased out, the interfaces to the ERP will be further developed. In addition, the need for filtration and segmentation in marketing (listings, newsletters, catalog distribution, etc.) will be continuously monitored. BWT AQUA will have multichannel marketing capabilities!
